Full-Time Dental Receptionist/Treatment Coordinator


Front Desk Reception Duties

  • Greet patients warmly and professionally, creating a welcoming environment.
  • Answer and manage incoming calls and inquiries promptly and courteously.
  • Schedule, confirm, and reschedule appointments using dental practice management software.
  • Manage patient check-in and check-out process efficiently.
  • Ensure accurate patient data entry and maintenance of digital records.
  • Collect and process payments, and outstanding balances at the time of service.
  • Maintain a clean, organized, and professional front desk and waiting area.
  • Handle all correspondence, including emails, texts, and mail, in a timely manner.

Treatment Coordination Duties

  • Present treatment plans to patients clearly and confidently, including cosmetic and elective procedures.
  • Review clinical notes and ensure all treatment is accurately charted for presentation.
  • Educate patients on recommended procedures, benefits, timelines, and costs.
  • Discuss financial options, including payment financing (e.g., CareCredit).
  • Follow up with patients who are pending treatment or have incomplete treatment plans.
  • Coordinate scheduling of multi-visit or complex cases.
  • Track case progress, including lab work, and specialist referrals.
  • Serve as the liaison between patient, dentist, and clinical team to ensure seamless communication.
  • Maintain strict patient confidentiality and adhere to HIPAA regulations.

Skills & Qualifications

  • 2+ years experience in a dental front office, preferably in cosmetic dentistry.
  • Proficiency in dental software (e.g., Dentrix).
  • Strong understanding of dental procedures and terminology.
  • Excellent communication and interpersonal skills.
  • High attention to detail and ability to multitask in a fast-paced environment.
  • Soft sales-savvy and confident in discussing financial matters and cosmetic options.
